What you will do:

· Facilitate planning and coordinate delivery for up to 10 small meetings/roundtables as assigned.

· Attend additional conferences and other meetings as requested each year and support senior event staff to ensure events run seamlessly and with minimum margin of error for items within the association’s control.

· Create and manage event budgets working with meeting owners, executive leadership, and accounting in managing any major variances from approved annual budget.

· Monitor attendance as it relates to the impact on room seating arrangements, track registrations for attrition or oversold rooms, and be prepared for necessary adjustments.

· Accommodate speaker requests and requirements within parameters of association policies and procedures.

· Conduct site visits on request and engage in initial negotiations of hotel contract terms in accordance with association’s requirements including required concessions, selection, and management of all aspects of catering, room setups, AV, meeting space, and transportation when needed.

· Coordinate with internal team members to ensure sponsors and exhibitors agreed upon terms of sponsorship benefits are met.

· Manage all logistics of attendees including spouse/guests by regular oversight of rooming lists and accurate participation records of all event activities.

· Maintain registration website ensuring all event information is current and correctly updated when changes to agenda and/or max space capacity is imminent.

· Schedule timely pre/post event meetings with all applicable staff to ensure sufficient coverage and staff assignments of all activities of the event.

· Under direction of Vice President of Services or President, deliver various member service offerings such as Visitation Program and surveys. This may include working with association members and vendors to direct and answer questions and ensure program deadlines are met.

Required Knowledge and Skills:

· Strong communication skills, both oral and written

· Highly organized and ability to remain composed under pressure

· Handle multiple projects simultaneously and produce/maintain accurate and timely documentation

· Proficient in all Microsoft Office applications and proven skills in Excel

· Strong computer and technology skills

· Proven ability to manage multiple budgets

Experience Required or Educational Equivalent:

· Required: Bachelor’s degree or 1-3 years’ experience in events planning

Preferred Knowledge and Skills:

· Demonstrable events planning experience

· Event management software

· Negotiation skills
